1. Who we are

Next Level Grading Ltd ("we", "us", "our") is a company registered in England & Wales (Company No. 17335495) with its registered office at 23a The Precinct, London Road, Waterlooville, PO7 7DT, United Kingdom. We are the data controller for the personal information described in this policy. You can contact us about anything in this policy at info@nextlevelgrading.co.uk.

2. Information we collect

  • Contact and account details — your name, email address, postal address and phone number when you submit cards, create an account, or contact us.
  • Order information — details of the cards you submit, the services you choose, and your submission history.
  • Payment information — payments are processed by our payment provider; we do not store your full card details.
  • Correspondence — messages you send us by email, through our contact form, or on social media.
  • Technical data — basic information such as IP address and browser type when you use our website, used to keep the site secure and working properly.

2a. The launch waitlist

If you enter your email address on our waitlist we collect that address, the date you signed up and your IP address (the last of these to prevent abuse of the form). We use it only to email you about our launch and your introductory discount. Our lawful basis is your consent, given when you submit the form; you can withdraw it at any time using the unsubscribe link in any email we send, or by emailing us. We keep waitlist addresses until you unsubscribe or until 12 months after launch, whichever comes first, and we never sell them or pass them to anyone for their own marketing.

3. How we use your information

  • To provide our grading services — receiving, grading, encapsulating, insuring and returning your cards (performance of a contract).
  • To take payment and prevent fraud (performance of a contract / legitimate interests).
  • To contact you with updates about your submission (performance of a contract).
  • To respond to your enquiries (legitimate interests).
  • To send our newsletter and offers, only where you have opted in (consent — you can unsubscribe at any time).
  • To meet our legal obligations, including accounting and tax record-keeping (legal obligation).

4. Sharing your information

We never sell your personal information. We share it only with service providers who help us run the business — couriers and postal services (to return your cards), payment processors, IT and hosting providers, and our professional advisers — and only to the extent needed. Where we are legally required to disclose information, we will do so.

5. How long we keep it

We keep order and submission records for as long as needed to provide the service and then for up to 6 years to meet legal, accounting and insurance requirements. Newsletter details are kept until you unsubscribe. Enquiry correspondence is kept for up to 2 years.

6. Your rights

Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to our use of it, to receive it in a portable format, and to withdraw consent at any time where consent is our basis for using it. To exercise any of these rights, email info@nextlevelgrading.co.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

7. Security

We use appropriate technical and organisational measures to protect your personal information, including encrypted connections (HTTPS) on our website, access controls, and secure storage for submission records.

8. Cookies

Our website uses only the cookies necessary for it to function. We do not use advertising or cross-site tracking cookies. If this changes, this policy and our site will be updated first.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be published on this page with the date it was last updated.
